Lead generation is the process of attracting people who might buy from you and capturing their contact details with their permission, so your team can follow up. A lead generation system has four parts: a traffic source (search, ads, social or referrals), an offer worth responding to, a capture point such as a form, call or WhatsApp chat, and a fast, consistent follow-up process. The goal is not the largest number of leads but the most leads that become paying customers at a cost the business can sustain.
Inbound and outbound lead generation
- Inbound: people find you and make contact, through search results, ads, social media, content or referrals. Inbound leads usually arrive with a need already in mind.
- Outbound: you contact people first, through calls, emails, messages or events. Outbound needs careful targeting and must follow consent and telemarketing rules.
Most growing businesses rely mainly on inbound and use outbound selectively, for example to reach a defined list of larger B2B accounts.
The parts of a lead generation funnel
- Traffic: visitors from organic search, paid search, social ads, email or partners.
- Landing page: a page built around one offer and one action, matched to the ad or search that brought the visitor.
- Offer: something worth exchanging contact details for, such as a quote, consultation, site visit, demo, price list, sample or free trial.
- Capture: a short form, click-to-call button, WhatsApp chat or booking calendar.
- Qualification: questions or scoring that separate serious buyers from casual enquiries.
- Follow-up: an alert to the sales team, a confirmation message to the lead and a planned sequence of contact attempts.
Landing pages that convert
A landing page should do one job. The elements that most often improve conversion are:
- A headline that repeats what the visitor searched for or clicked on.
- A clear statement of the offer, who it is for and what happens next.
- Proof close to the form: reviews, client names, certifications or photos of real work.
- A form with only the fields you truly need. Each extra field gives people a reason to stop.
- Fast loading on mobile, because most paid social and many search visitors arrive on phones.
- Contact options people prefer, including phone and WhatsApp for Indian audiences.
Qualifying leads before they reach sales
Unqualified leads cost sales time. Qualification filters them early without putting off genuine buyers:
- Form questions: budget range, timeline, location or project size, asked as simple choices.
- Lead scoring: points for actions that signal intent, such as visiting the pricing page or requesting a call.
- A common framework: budget, authority, need and timing (often called BANT), used as a short checklist during the first call.
- Feedback loops: sales teams marking each lead as qualified or not, so marketing can stop paying for sources that bring poor leads.
Speed and quality of follow-up
A lead’s interest fades quickly, and many prospects contact several businesses at once. Fast follow-up is often the cheapest way to win more customers from the same leads. A sound process includes instant alerts to the right person, an automatic acknowledgement to the lead, a target response time during working hours, several contact attempts across different channels and a CRM record of every attempt and outcome.
Consent and contact rules in India
Lead generation involves personal data, so consent and contact rules apply:
- Data protection: the Digital Personal Data Protection Act, 2023 and the DPDP Rules notified in November 2025 require a clear notice of why data is collected and how it will be used.
- Promotional calls and SMS: TRAI’s telecom commercial communication regulations, amended in February 2025, require registered senders and approved message templates. Promotional calls must use 140-series numbers, while service and transactional calls use the 1600 series. Ordinary 10-digit numbers must not be used for telemarketing, and promotional messages must offer a way to opt out.
- WhatsApp: WhatsApp’s business messaging policy requires opt-in permission that names your business before you message people, and marketing messages sent through the WhatsApp Business Platform use pre-approved templates.
Keep a record of when and how each lead gave consent, and confirm specific obligations with a legal adviser.
Measuring lead generation properly
- Cost per lead by channel, campaign and landing page.
- Lead-to-customer rate: the share of leads that become paying customers.
- Cost per acquisition: total spend divided by new customers, which matters more than cost per lead.
- Response time: how quickly each lead was first contacted.
- Revenue by channel: which channels bring the most valuable customers, tracked through CRM data.
Comparing channels on cost per customer rather than cost per lead often changes where budget should go. A cheap source of leads that rarely buy is more expensive than it looks. Lead generation works best alongside a fast, well-built website and campaigns planned across digital advertising platforms.
